Day 5

It was a busy day before the official performance started. All the colleagues were trying the best to make it perfect. We still had to edit and review the orchestra program to avoid mistakes. Especially the greetings from the important policians. I haven't thought how hard and serious it is and I did learn a lot from it. We spent nearly 6 hours to check the translation of the greetings and it was finally failed. So we have to ask the professional translators to do that. It was really out of my mind to be intertwined with the little tiny things which we have to do. I also witnessed the rigorous attitude of my supervisors and colleagues. It was a big lesson for me because I will force myself to be serious during the work.

The last-version poster has been completed and they have to been posted around the every corner. As the poster has been changed for several times, so the best one going to be published. Everything has prepared well, a small group members have arrived in Sydney to ensure the performance on broad. The other large crew will be here on Monday. It was quite excited as the most famous violinist in China and the world NingFeng who has got the first prize winner of the Paganini competition in 2009 and a regular guest artist with top conductors, orchestras and festivals around the world. Besides, the NCPA Orchestra of China will perform a selection of masterpieces including "The butterfly Lovers " composed by Zhanhao He and Gang Chen and Dvorak's Symphony No.9 '' From the New World".  

This is a really unique and valuable opportunity for Sydney audiences to experience exquisite music and witness the supreme skill and artistry of the NCPA Orchestra of China. 

Day 4

It was only one week left to have all the work done. The orchestra performance will debut in Sydney, at the same time, the tickets sale is going well and only less than 100 left. It was really a good job.

Generally speaking, the work for pre-marketing has almost finished, and the following one week will be the executive arrangements, including airport pick-up, reception, the news conference, the formal performance and the acknowledge dinner. For the media company, the work has done. I will gradually conclude what I did during this month. When one event finishes, the collection of the information and database is very necessary and important. It refers to pre-planning, each period of tickets sales, sponsorship , news release, the feedback of audience, all the video, radio and new reports on internet, and newspaper, magazines etc. It will provide the sample for the further events. I will first conclude what I managed. 

I mainly focused on social media, publishing and updating information on social media platform, such as facebook, twitter, Youtube, connect with ABC network etc. All the work has been conducted on website. The large amount of the information and quick update attract hundred of friends who are mostly interested in music, orchestra performance. It will be a bit difficult to collect all the database, picture, response together. 

We still have to arrange some VIP tickets for the sponsors and important figure, such as politicians, ambassador. I will also take charge of it. It will be wonderful in the following week. Looking forward to the real show

day 3

This intern job was only half month left, so I will have very valuable experience of marketing period for the event. Regarding the different range of event and the numbers of the involved people, the period of marketing is prior to 1 to 3 months, and this 3 months are seen as the golden time to publicize the event. It will directly influence the results of the events.

The premiere of NCPA orchestra performance in Sydney are mainly aimed to local audiences. Because the orchestra performance still belongs to the luxury art, it will be a big budget for normal people. So our first targeted audience will be all the Sydney music high school, university, orchestra group and orchestra institution of university. The students of music major will be interested in it and the music lovers will also be our aimed audiences. We are intend to make some strategies to attract the audiences. For example, we can provide the family set tickets and if the family buy the ticket, it will be 50% off of the child's ticket. Or we can contact with the orchestra school or group to exchange the chance of performance. If they can buy the group tickets, maybe we can plan the exchange performance for them in China something like that. This is only the original ideas and we have to choose the best one. Besides, this show will be performed in Opera House where is the most remarkable symbol building of Sydney. It will be good chance to enjoy and travel the opera house for those who hasn't been there. My job is to contact those music institutions and schools one by one and spread the information of the songs they gonna play on facebook and twitter. It is a challenge to talk to people who might be reject you. It's still tough for me because the English is my second language. I will try my best to do it.

day 2

This period of work was so busy but quiet, what we have to do was to struggle on the network and response to the email. Prior to the performance, generally we have 2 or 3 months to marketing the event. It seemed boring and ineffective, because there were few feedback. I was thinking what is the E-marketing? Is it that publish or advertise the information on Internet? How to organize it? That will be my assignment to figure it out. When I get to job, I realize that what we have to learn is as much as what we'll never know. Never to late to learn. Maybe we can't to do the job that we majored in university, the important ability is to learn the new things quickly and get adjusted. I've been dancing for the past 12 years, I didn't touch the "office stuff" before. It's quite different. Dance needs you to be active and passionate. But office work is forcing on the patience and effectiveness. 

I was asked to collect the contact information of all the music school, group or performing institute in Sydney and make the social marketing plan. I have to say that my eyes were almost killed by the screen of computer. The thing is I was not able to have a rest, the huge workload made me work ceaseless. When I finished all the work, I just decided to cherish my student life, although there are a great number of assignments. That 's the idea of most of people, I'm sure.

I will record every step of my job and what I concluded during the job. That's the treasure for me, not only for working, but also the life

My second intern job

Thank you all to give me the advice and help on my first intern job, I did learned a lot from all of you. Now I'm moving on to the next intern job,and it will be different challenge this time. I'm still interested in Chinese traditional culture and culture exchange event between Australia and China. So I feel so lucky to get this intern job.

There will be the NCPA ( National Centre for the Performing Arts) Orchestra performed in Opera House on 6th Nov. NCPA Orchestra musicians are from various countries and regions, and most of them have experience working or studying in Europe or North America. My main work is to promote the ticket and the event on network as well as to get an investigation of public opinion on Chinese culture engaged in Australia. That sounds so interesting and exciting. I love music as much as I love my dance, and the more important is Orchestra seems like the masterpiece of western countries, but the NCPA will still bring out the high-quality and professional performance for the Australia people.

As I said, my job is tend to work on network, that means I can work at anytime anywhere as long as I have one laptop and Internet. But I still need to go to office in city to report what I have done for the last week. I mainly responsible for network marketing on Facebook and Twitter. I think it should be different from what we actually thought and played on Facebook. It should be targeted and planned. So I decide to look for all the music schools, music performing groups, Australia orchestra groups firstly. 

Looking forward to my next step. 

End of event

The following days will be the film panorama, and theoretically speaking, our task was going to be end. The last thing I have to do is to collect and sort out the questionnaire. It related to the age, gender, occupation, salary level, and the ways of information. We collected 300 copies of questionnaire, which will be the record of this event. In fact, we can really obtain some helpful information from the questionnaire. 

it was concluded that , firstly, the audience of each age is average but the middle age of 30 to 50 years-old was slightly higher than other ages for 10 percent. The Chinese audience was more than local and foreign audience for around 30 percent and without any limitation of gender and occupation. The culture exchange was not restricted by the difference of age, gender, language, background. However, the mature or elder people are more easier to accept different culture. No matter what kind of job people does, culture and art can be enjoyed after work and it does mark the the high quality of life. Lastly, due to the limitation of the language, the Chinese film is not attractive enough to the English-speaker and the the Chinese film market is still controlled by the Chinese-speaker. Response to the feedback, it is clear that what kind of task we should focus on in the future.

Through the Golden Koala film festival, I known a lot of friends, I had a valuable experience in Australia to meet up celebrities, I had the opportunities to open my eyes and increase my social practise. Most importantly, I am very proud of doing so to advertising Chinese film to the overseas market.  

opening ceremony

Today, all the volunteers and internship members were gathered to get the specific task. Our supervisor will not be available to take care of this stuff, because he will company with the directors and guests who will attend the ceremony tonight. So media checking, translater accompanying with Chinese and Australia directors, decorate the site and red carpet, interview with the Chinese film actors and director, order the VIP guest and settle the gift bag, we had to do the respective division of labour as well as cooperate with each other. And after all this preparation, there was another work for me. I will be charge of the award cups and to become the Miss Etiquette. At 7:30 pm, the ceremony started on time and it reached a large group of audiences. There was one film premiered in Sydney today so it attracted lots of audiences. Everything was going well as we practised and the ceremony was also very active. It's my turn to go up on the stage. I was still a little bit nervous, although only a few steps' road, but facing to hundreds spectators and the media lens, I had to build myself up. Along with the announced name of the recipient, and at that moment I suddenly had a feeling that the one who is going to receive award was me. I was smiling and confident to walk on the stage, and gave the cup to the hand of honored guest, then I turned back to walk down. Because all the awards arrangement was not very close, so I will be the only Miss Etiquette for whole night. I was thinking that besides the MC, I probably should be the person who most frequently showing up on the stage. It finished at 9 pm sharp and all the celebrities and the stuff enjoyed the delicious buffet dinner neat the harbour bridge, it was a beautiful night. 

I'm sure it will be the most excited experience of my overseas life.

preparation for the big day

The opening ceremony is coming and it has been busying over this few weeks. All the group finish the work individually, because we all have different roles. I haven't seen other colleagues for long time. As I known, they were assigned overloaded work, especially the group of media and translation. Approximately 20 films' synopsis need to be written in China and English. Besides, the newsletter of the film and the festival has to be published regularly. When we met up together, everyone was just complaining. LOL, it seems like I'm quite relax. 

After finish all the separated work, we were going to work together on the next big task. Rehearsal  

for the formal opening ceremony. Like other events, rehearsal is necessary to find out what the problem is. But we only had 2 hours to practice each process. The high price of the cinema and the limit of time force us to do it stressed. We can make it, but a serial of unexpected problems almost make us crazy. 

 Because the cinema is open at 9am, so we have to arrive there at least 2 hours early. That means I need get up at 6am ,it's quite early. I can image that someone might be late. Indeed, we put off half hour which makes everyone nervous. The main task today was to make MC in tune with the control room. The screen will play the trailer, introduction, and winning film and directors. So it was very important in the whole ceremony. Besides, the position of the 3 video camera also made a big role on it, especially the movable camera. The Simultaneous interpreting has to practise. Maybe this film ceremony can not compare to the other famous film festival, such as Oscar, Cannes film festival, but it 's time to kick off Chinese own film festival. We had plenties of difficulties and limitations, but trying our best to make it better and it will be the mission for all the film-lovers.

24/9 Everything is going well

During this 2 weeks, we have started to advertise the whole film festival in a few main Chinese quarters in Sydney, such as burwood, chatwood, strathfild, hursville. The work was so simple but repeated. The volunteers have to put up the posters and distribute flyers nearby Chinese shop, restaurant, market etc. I'm sure the information of film festival have been broadcasted on TV, radio and published on the magazine, newspaper. We will also be hanging the flags of film festival around the city just ahead of opening ceremony day. So poster and flyer are the most basic way to make public to know what is going on. We assigned 7 groups to the different districts we were planning to finish all the works in 2 weeks.   

When I assigned the flyers to the passers-by, most of them were nice and kept it, but some others were not kind to us. They got it but thrown it away when we left. That was really uncomfortable. If you don't want it, just refused at first. That still reminded me of taking flyers from other people. If you received it kindly, that will be the biggest respect for the people who's working. 

In the meantime, we still have other stuffs to do, like chose the ceremony site and dinner restaurant, arrange the hotel for the guests who will come from China. Besides, the place of the media conference and film forum. We chose one theatre in UTS to be our film forum room and UTS also was one of the sponsors. From all the work, I realized that there will be various of work to be prepared behind the every event or festival. Maybe we can only see the superior views and shining star in front of red carpet, which is all relied on the hard-working staffs and volunteers. We should give applauds for ourself as one of the members in the event.

the volunteer meeting 15/9

Let's kick off the first thing. Recruiting the event volunteers. In the two weeks, we will recruit about 30 volunteers and I will assign them to the different groups. I edited the recruitment news and put it into the Website, then all I have to do is waiting. 

Since the news was putting on the website, I received more than 40 resumes and it was a huge workload to record every application and the special talent of each employees which help me put them in the suitable station. After a week of screening, there were 30 volunteers who will be one part of our group. One key of the key job for me was to call them together to have the first meeting, which was more like the meeting I attended. The different thing was that I am the one who will control all the things. I couldn't describe how nervous I was but I am more than ready to do it. 

I planed to have a meeting on Saturday, because most of volunteers are full-time students or part-time worker, so Saturday would be fine for everyone. I found a bad situation that happens in most Chinese group or event, being late for everything. I don't know why no one was appeared in the office at 2pm even though I have mainly talked about the issues of time in email. Being punctual, as far as I thought, would be the most important thing whatever you do. Especially for the group activities, all the people is just waiting for someone, that's absolutely irresponsible. The meeting almost delayed for half hour, and I emphasised on this problem again. Afterwards, I arranged the shift, which will be vital works before the opening ceremony. 

At the meantime, the Supervisor Mr. Ray and I went to choose the staff uniform for all employees including me, and I prefered the purple T-shirt selfishly, but I'm sure it is the perfect one. Technically speaking, all preparations were finished, and we are moving on to the "actual work".

The second meeting

Week 2  7/9

Today it is our second group meeting that will allocate the tasks separately . What I firstly have to do is to make a proposal for the future tasks. I have never done this kind of work before and I have no idea how to organize it. I search it on Google and try to look for a model. My first try to make a proposal is definitely not OK then, and my supervisor teach me how to make it step by step. 

At the beginning, I think the written plan or proposal is not that big deal because it is event, the point is how to operate it during the process of event. But my supervisor told me that a good ending is definitely led by a good beginning, and the good beginning is what you can think about or plan on paper. When we finish all the event, you will be thankful to your proposal. 

I try my best to list what I have to do in the coming weeks, after I rewrite several times, I summarize it and there are 2 points that I can put into use in future. Firstly, Do not ignore every single tiny details in the proposal. Every little tiny part that you might overlook can lead to a bad result. It would take some time to rethink and rewrite in order to planning comprehensively, but it is worth to do that. In addition, back-up is always necessary. You may have to prepare two proposal what if something urgent happens. Making a back-up helps you to take a turn to be out of danger when you are in trouble. 

That's what I learn today, I'm sure it must be helpful.

First meeting

Week 1   1/9 

First meeting

We were gathered to meet each other and the supervisor will introduce all the colleagues and the duty of us. 10 volunteers were going to be engaged with this event. Chinese film festival is an non-profit organization, which aims to provide local people and Chinese audiences opportunity to explore the Chinese culture, history and evolution from the Chinese film.

There will be about 20 films selected to take part in this film festival, and the opening ceremony will be the most important part of all the event. More than 30 famous Chinese film stars will be able to come to Sydney and participate in the ceremony, which cheers me up definitely. 

So before the ceremony, lots of work need to be prepared. The group of translation will be responsible for translating the introduction of the films, news release and film program, which requires carefulness and patience. Another group is what I'm always interested in, media group. They will be charge of writing news letters, communicating with the television, radio, newspaper and magazine. In addition, recording audio, interviewing the actors and actresses when they are in Sydney, editing the film trailers and making film program which will be showed on the ceremony day, all of this stuff is more than professional and technical. As a consequence, the group of media requires the people who are majored at the professional media course. The third part of the film festival is quite skilled and professional as well, that is group of design. As you can image, official website, film program, brochure, flags are the main but trivial works. the last part is mine, event assistant who will manage the volunteer team, personnel assignment, edit and collect questionnaire and all the administrative tasks. 

It seems like it's a super professional and clear team and it is advantageous for every teamworker to make the most use of skills and abilities. All of this is new and excited for me and I can make it clear what exactly the festival is. Of course, my colleagues are very kind and nice. Looking forward to our next step.
